Job detailsUnder the general supervision of the Director Primary Care and Chronic Disease Management and the day-to-day supervision of the Coordinator of the program this position is responsible for the provision of secretarial and clerical support for the Breast and Cervical Health Program for both physician and nurse led clinics. This position is primarily responsible for receiving referrals, scheduling patient/client initial and follow-up appointments, test, procedures and reception duties. This position involves communication and collaboration with teammates in order to organize/maintain schedules while under pressure to handle multiple tasks, changing priorities and sometimes short deadlines. The Clerk will utilize critical thinking and sound judgment to fulfill his/her role and ensure quality service is provided to the patient.Representative Duties Pulls, assembles and files client records for multiple Breast Health Clinics and Cervical Health Clinics. Ensures all charts and required patient related info are available to the team for clinic. Prepares and documents patient charts for other department appointments within the hospital. Composing and typing correspondence, filing, ms word processing from copy, rough draft, dictaphone and/or transcription, detailed instructions, data entry. Print schedules for all clinics within department. Books patient for clinics, procedures and/or diagnostic tests and arrange referrals to other clinical departments and specialists. Assesses, prioitizes and coordinates clinic schedules of multiple physicians, reviews referral requests, schedules appointments and teaching sessions. Often the 1st point of contact for the patient and/or a referring physician's office, the incumbent plays a pivotal role with the team of healthcare professionals, optimizing the preparation of the patients toward a positive Breast and Cervical Health program background. Answers inquiries from public; in person and/or on the phone, providing relevant info while using discretion and judgement. Opens and distribute mail and faxes for office. Photocopies documents as required. Maintains filing system(s) and resource documents and materials as required. Attend assigned meetings, record and transcribe minutes as required. Ensure adequate supply of forms and maintains office supply inventory. Coordinate office maintenance and housekeeping requests. Qualification, Knowledge, Skills Grade XII education. Medical terminology related to breast and cervical health and radiology. Successful completion of formal post-secondary secretarial program or equivalent multi-disciplined office background. Office background using the following applications: microsoft office suite -microsoft word, ms excel, outlook and powerpoint, meditech scheduling and registration background essential. in an administrative office and/or clinical setting. Minimumn 3yrs background working in a high energy office/clinical environment with multiple demands and changing priorities. Excellent management skills with expertise to handle numerous interruptions, heavy workload. Expertise to manage emotional and stressful situations with empathy and to remain calm, courteous and tactful at all times. Expertise to provide a positive and friendly approach that will enable incumbent to deal with challenging situations with empathy and sincerity.
